# Change report layouts

It is easy to change the layout of active reports.

## Show or hide columns

1. Under **List Options**, click **Layout**.
2. In the **Visible** column of the **List Layout** dialog:

* Add a check mark beside columns you want to show
* Remove the check mark beside columns you want to hide

3. Click **OK**.
4. (Optional) Save your column display preferences for the report:
   1. Under **List Options**, click **Memorize**.
   2. Select **Layout**.
   3. Click **Save**.

## Move columns

1. Click the column header and drag to the left or right until the column is in the desired position.

2. (Optional) Save your column display preferences for the report:
   1. Under **List Options**, click **Memorize**.
   2. Select **Layout**.
   3. Click **Save**.

## Manually resize columns

1. Click the right edge of the column header and drag to the left or right until the column is the desired width.

2. (Optional) Save your column display preferences for the report:
   1. Under **List Options**, click **Memorize**.
   2. Select **Layout**.
   3. Click **Save**.

## Automatically resize specific columns

1. Under **List Options**, click **Layout**.
2. In the **AutoFit** column of the **List Layout** dialog:

* Add a check mark beside columns you want to automatically resize
* Remove the check mark beside columns you do not want to automatically resize

3. Click **OK**.
4. (Optional) Save your column display preferences for the report:
   1. Under **List Options**, click **Memorize**.
   2. Select **Layout**.
   3. Click **Save**.

## Automatically resize all columns

1. Under **List Options**, click **Settings**.
2. From **AutoFit** in the **List Settings** dialog, select **Resize All Columns**.

3. Click **OK**.
4. (Optional) Save your preferences for the report:
   1. Under **List Options**, click **Memorize**.
   2. Select **Settings**.
   3. Click **Save**.

## Group columns

1. Under **List Options**, click **Settings**.
2. Add a check mark beside **Group By**.

3. Click **OK**.
4. Click a column header, such as Department, and drag it up to the gray area where it says **"Drag a column header here to group by that column"**.

When you drop the column in the gray area, the report data is grouped by that column. You will need to expand the grouping to see the report data.

5. (Optional) Click another column header, such as Category, and drag it up to the gray area to create another grouping level.

When you drop the column in the gray area, the report data is grouped by that column. You will need to expand the grouping to see the report data.

6. (Optional) Save the column groupings for the report:
   1. Under **Memorize**, click **Memorize**.
   2. For **File name**, enter a unique file name for the custom report, e.g., Detailed Sales Report Grouped by Dept.
   3. Click **Save**. The custom report is saved under **Reports** | **Active Reports** | **Memorized**.

## Ungroup columns

1. Click a grouped column header in the gray bar and drag it back down to the column header row.

2. (Optional) Move the column to the desired position.
3. (Optional) Save the column groupings for the report:
   1. Under **Memorize**, click **Memorize**.
   2. For **File name**, enter a unique file name for the custom report, e.g., Detailed Sales Report Grouped by Dept.
   3. Click **Save**. The custom report is saved under **Reports** | **Active Reports** | **Memorized**.

## Control how many rows of data display in the report

You can control how many rows of data display in the report by setting record limits.

1. Under **List Options**, click **Settings**.
2. Click the **Record Limit** tab.
3. Select the **Custom Max. Records** option and then enter the maximum number of records to display in the report in the **Max. Records** field.

   1. Under **List Options**, click **Memorize**.
   2. Select **Rec. Limit**.
   3. Click **Save**.
