Back orders

This topic describes how to configure back orders. You can set an expiration date and minimum deposit amount, require customer selection, and select the receipt format for back orders.

Back orders are customer orders for items that are temporarily out of stock. Stores may offer back orders to customers if the items are currently on order and will be received soon, or if the store can order the items and receive them within a time frame that is acceptable to the customer.

Back orders are essentially an agreement by the customer to purchase out of stock items at the current retail price, with the understanding that they will receive the items at a later date. Stores should establish clear policies for back orders, such as:

  • Whether customers are required to pay the full amount for backordered items, or whether they only have to pay a deposit.

  • Whether the store will honor the current retail price of the backordered items, or whether the store reserves the right to adjust prices of backordered items based on updated supplier costs.

  • What the acceptable timeframe is for restocking backordered items, and what the acceptable timeframe is for customers to up backordered items once they are back in stock.

  • Whether the store or the customer can cancel a backorder, and what happens with prepayments or deposits if the back order is cancelled.

Set the expiration date and minimum deposit amount

Ordering rules are global and apply to all computers.

  1. Click File | Configuration.

  2. Click Ordering Rules.

  3. In the Back Order section:

    1. Specify an Expiration period. This is the maximum number of days the store has to fulfill the back order before the back order expires and is no longer valid.

    2. In the Deposit field, enter the percentage of the total back order amount that the customer must pay as a minimum deposit when the back order is created.

  4. Click Save And Close.

Note: The cashier can override both the due date and the deposit amount in POS by clicking Orders | Order Details and selecting either Order Due or Order Deposit Override.

Require customer selection for orders

  1. Click File | Configuration.

  2. Click Store Rules.

  3. Click Customer Options.

  4. Enable Require customer selection for orders.

  5. Click Save And Close.

Display out of stock items in POS

  1. Click File | Configuration.

  2. Click Store Rules.

  3. Click Item Options.

  4. Select Display out of stock.

  5. Click Save And Close.

Enable back orders in POS

  1. Click File | Configuration.

  2. Click Store Rules.

  3. Click POS Options.

  4. Select Enable back orders.

  5. Click Save And Close.
